Work Procedure
Work Procedures are used as a template for the work orders that is created for the planned maintenance.
The Work Procedure holds budget information about the task, what staff qualifications are required, how much time we expect resources (staff) to spend on the task, whether there is a need to use sub-contractors or equipment hire and what spare parts are required. When the work order is created this information is copied into the work order and will be used for resource planning, parts requisitioning and purchase of sub-contractors and equipment hire.
The work procedure has instructions about what work needs to be carried out and how.
The work procedure also holds planning information about when the work needs to be carried out. This can be based on a certain interval period or based on usage of the plant the procedure is linked to.
The Work Procedure
In the Plant Maintenance role centre click on Setup > Work Procedure, as many work procedures as needed can be created.

13 Work Procedure
When creating a new Work Procedure, the Work Procedure is given a new code and a meaningful description.
The Planning Type determines the calculation method used to calculate the planning date for the next preventative maintenance work order. There are 4 different planning types to select from:

| <Blank> | <Blank> is mainly used for Break-Down Work Order. Break-Down Work orders cannot be planned for and can be created as the breakdown occurs. |
| Periodic Fixed | Periodic Fixed looks at the Planning Period field to calculate the planning date for the next work order. It means that if the maintenance has a planning interval of 1 month (this means the maintenance is recurring every month) and the maintenance was planned for the 1st of the month, the next work order will be planned for the 1st of next month. Fill in the Planning Period field accordingly. |
| Periodic Actual | Periodic Actual looks at the Planning Period field to calculate the planning date for the next work order. It means that if the maintenance has a planning interval of 1 month (this means the maintenance is recurring every month) and the maintenance was planned for the 1st of the month, but the actual work was carried out on the 5th of the month, the next work order will be planned for the 5st of next month. Fill in the Planning Period field accordingly. |
| Usage | Usage looks at the Planned Usage Interval field and compares that to the usage recorded on the Plant Card to calculate the planning date for the next work order. For the system to calculate the planning date for the next preventative maintenance based on the usage, the user has to update the recorded usage regularly. |
In the Job/Job Task creation, you can select whether for every new work order, a new job or a new job task needs to be created (more about this in Set Up).
Work Instructions
Detailed Work instruction on how to perform a task can be set up to a Work Procedure. You can set up as many Work Instructions as required, but only one Work Instruction can be set as a default to a Work Procedure.
To create a Work Instruction, on the Work Procedure click the drop-down field in the Work Proc. Instruction Code field and click on + New. On a new line enter a new code and description.

In the bottom half of the screen add the instruction details. You can enter as many lines as required. Each line allows you to save up to 80 characters.
These work instructions can now be attached to the Work Procedure by recording the Work Proc. Instruction Code to the Work Procedure.

These work instructions are then printed on the Job Card Report printed from the Work Order (Job Task). Read more about this in Print Job Card.
Work Procedure Budget
In the bottom half of the Work Procedure Screen, the budget can be entered into for the procedure. The budget can consist of the man-hours of the resources required to do the work, the parts required to do the work or expenses like crane hire or subcontractors.
When a work order is created, this budget will be copied to the work order. Additional information like G/L Cost, G/L Unit of Measure and G/L Vendor No. can be recorded if a purchase order needs to be raised from the Work Order to purchase the required expenses. 17 Work Procedure Budget
Job Skills
Usually for maintenance procedures certain skills are required from the person performing the work. Job Skills can be allocated to the Work Procedure as well as to the Resource. When planning resources for the work orders the system will indicate which resources have the skills required to do the work.
To add a Job Skill to a Work Procedure is easy. From the Work Procedure click on a line then click on the Related menu on the ribbon then click Job Skills.

18 Job Skills
In the Job Skills Assignment you can see, add and delete which skills are required for this procedure. You can use the look-up function in the Job Skill Code to go to the Job Skills list. Here you can select an existing Job Skill to add to the Job Skills required for the work procedure or create a new Job Skill on a new line.

These Job Skills can also be assigned to a Resource from the Resource Card.

Here we can assign the Job Skills (qualifications) to the Resource.

21 Job Skills Assignment
When assigning Resources to planned work orders we can now see which resources have the job skills to carry out the work. In the top is the list of work orders.
In the bottom half you can see the list of Resources and whether they are skilled in the job or not. The information on whether the Resource is skilled is shown in relation to the Work Order on the active line in the top half of the screen. The active line is marked by the arrow symbol.
A resource is considered skilled if one of the job skills assigned to the Work Procedure matches one of the Job Skills assigned to the resource.

22 Skilled Resources
You can scroll the Res. Availability to view the relevant date for which the resource is allocated to the work order. You can also allocate the resource to the work order by filling in a value to the relevant date column.
